Outlook is one of the most popular email clients. It offers users a range of features, from scheduling appointments and tasks to creating rules that automatically sort emails. Another useful feature in Outlook is the ability to archive emails. Archiving emails helps keep your inbox organized, reduces clutter, and improves your productivity. However, accessing archived emails in Outlook can be confusing.

In this article, we will explore step-by-step how to access archived emails in Outlook.

Step 1: Launch Outlook and Go to the Folders List

The first step in accessing archived emails in Outlook is to launch the app on your desktop or mobile device. Once you have launched Outlook, go to the Folders pane on the left of your page. Look for the Archives folder, which should be under your main inbox folder. If you don’t see the Archives folder, you may need to expand the list by clicking on the “>” sign next to your main inbox folder.

Step 2: Select the Archives Folder

Once you have located the Archives folder, click on it to open it. This action will reveal all the emails that you have archived.

Step 3: Search for Archived Email

If you have a few emails archived, you may be able to browse through and locate the email you need. However, if you have many archived emails, searching for the particular email you are looking for will be quicker. Use the search bar at the top of the page to search for specific keywords, subject lines, or senders.

Step 4: Open the Archived Email

Once you have located the archived email you need, you can open it by double-clicking on it. This action will open the email in a new window, where you can read, reply, or forward it.

Step 5: Move Archived Email Back to Inbox

After reading the archived email, you may want to move it back to your inbox. To do this, click on the “Move” button at the top of the message window, and then select the “Move to Folder” option. From the dropdown list, select the “Inbox” folder, and then click on “OK.”

Conclusion

Archiving emails in Outlook is a great way of keeping your inbox organized and improving productivity. However, accessing archived emails can be tricky. By following the five steps outlined above, you can quickly access and retrieve archived emails in Outlook.
