How to Email a Resume

In today’s digital age, knowing how to email a resume properly is an essential skill for job seekers. As your resume is your chance to make a winning first impression on potential employers, it’s vital that you get it right. This comprehensive guide will teach you how to effectively email your resume in a professional and efficient manner.

1. Prepare your resume and cover letter

Before sending an email, ensure that your resume and cover letter are both up-to-date, well-formatted, concise, and easy to read. Save them as PDF files to ensure consistent formatting across various platforms.

2. Choose a professional email address

When applying for jobs, it’s essential to use an email address that reflects professionalism. It’s preferable to use an address that includes your first and last name rather than an alias or nickname.

3. Create a clear and concise subject line

The subject line should clearly state the purpose of the email. Include the job title, company name, and any relevant referral or reference number if applicable. For example: “Marketing Manager Application – John Smith (Ref#: 12345)”.

4. Address the recipient by their full name and title

When possible, address the email recipient by their full name and title (e.g., Dear Mr./Ms./Dr. LastName). If this information isn’t available, opt for a general greeting such as “Dear Hiring Manager” or “To Whom It May Concern”.

5. Write an engaging email body

Your email should briefly introduce yourself, highlight your qualifications, explain why you’re suitable for the job, and express eagerness for the role. Remember to mention any connections you have with the company if applicable.

6. Attach your resume and cover letter

Attach both PDF files to the email for easy access by recruiters once they open your message. Make sure you only attach the necessary documents as stated in the job posting; otherwise, you might clutter the email and annoy potential employers.

7. Proofread before sending

Ensure your email is free from grammar and spelling errors by double-checking your writing before sending it. You can use various tools like Grammarly to help you with this.

8. Send a test email to yourself

Before sending your resume to an employer, send a test email to yourself just to make sure all of the attachments are working correctly and the formatting stays consistent.

9. Follow up on your application

If you haven’t received a response within two weeks, it’s appropriate to send a polite follow-up email reiterating your interest in the position and asking if there are any updates on your application.
