How to Archive All Old Emails in Gmail and Reach Inbox Zero

As more and more emails flood our inboxes each day, it can be challenging to keep our emails organized and clutter-free. Gmail offers various features that can help us achieve an “Inbox Zero” state quickly. One such feature is the “Archive” button, which allows us to keep our inboxes tidy without deleting our emails. In this article, we’ll explain how to archive all old emails in Gmail and reach Inbox Zero.

Step 1: Find Old Emails in Gmail

To archive all old emails in Gmail, you need to find them first. To do this, you can use the Search feature of Gmail. Head over to the Gmail search bar, type “older_than:,” and add a time period in days to search for emails that match your criteria. For example, if you want to find emails that are older than 365 days, then you can type “older_than:365d” in the search bar. Press Enter to see the results.

Step 2: Select All Emails

Once you’ve searched for old emails in Gmail, you can select all of them at once. Click the first email in the search results to select it. Then, scroll down to the last email that was searched and hold the Shift key while clicking on it to select all the emails in-between.

Step 3: Archive Emails

Now that you’ve selected all the old emails in Gmail, you can archive them all at once. Click the “Archive” button, which looks like a folder with a down arrow, or press the “e” key on your keyboard. All the selected emails will be moved to the “All Mail” folder and removed from your inbox.

Step 4: Repeat the Process Frequently

Archiving all old emails in Gmail is a great way to clean up your inbox and reach Inbox Zero. However, to maintain Inbox Zero, you should repeat this process frequently. Set aside some time each day or week to go through your inbox and archive any old or unnecessary emails that you no longer need. This will help you stay organized and reduce email clutter in the long run.
