How to Use the SUMIFS Function in Excel

As one of the most versatile functions in Excel, the SUMIFS function helps you quickly and easily calculate sum totals based on multiple criteria. This can save you time and effort by quickly summarizing large amounts of data without the need for manual calculations. Here’s a step-by-step guide on how to use the SUMIFS function in Excel.

1. Understand the syntax of the SUMIFS function

The SUMIFS function has a specific syntax that you need to follow to use it effectively. Firstly, select the cell where you want the result to be displayed, and then type “=SUMIFS(“. The opening bracket will require you to specify the range of cells that the function should search through for criteria. Next, specify the criteria range for each criterion (must be the same size as the range to be summed), followed by the criteria itself. Finally, close the brackets and press Enter.

2. Enter the criteria range and criteria

The criteria range is the range of cells that you want the SUMIFS function to evaluate for your desired values. Criteria refers to the specific value that you want to filter the data by. This could be a number, text, or a formula. You can enter multiple criteria by using the syntax: “=SUMIFS(range1, criteria1, range2, criteria2, …).

3. Enter the range to be summed

The range to be summed refers to the range of data that you want to add up based on the established criteria. You can use a single range, or select multiple ranges. For instance, you could use a range that represents a column in a table, or select multiple non-adjacent cells using the “Ctrl” key.

4. Test the formula

You can test your formula by manually calculating a subset of the data to make sure that you get the expected result. Alternatively, you can use the “Evaluate Formula” function to show each step of how the formula was resolved, so that you can see if it was the correct one.

5. Apply the formula to larger data sets

Once you have tested the formula, you can then apply it to larger data sets. This will allow you to instantly calculate sums based on multiple criteria and quickly analyze vast amounts of data.
