As a professional, it’s important to make a good impression in all of your correspondence. One way to do this is by using a special signature for your email replies and forwards in Outlook. This can help to distinguish your responses from the original message and adds a personal touch to your emails. Here’s a step-by-step guide on how to set up your special signature:

Step 1: Launch Outlook

Open the Outlook app on your device.

Step 2: Click on the “File” tab

This option is located in the top left corner of the page.

Step 3: Click on “Options”

You’ll find this option towards the bottom of the list.

Step 4: Select “Mail” from the left-hand menu

This will take you to the mail settings page.

Step 5: Click on the “Signatures” button

This option can be found under the “Compose messages” section.

Step 6: Create a new signature

Click on the “New” button to create a new signature specifically for your email replies and forwards.

Step 7: Give your signature a name

Type in a name for your new signature. This will help you identify it later on.

Step 8: Compose your signature

Now you can compose your signature. Keep this brief and professional, avoiding any unnecessary information.

Step 9: Assign your signature to replies and forwards

Towards the bottom of the “Signatures” window, you’ll find a section labeled “Choose default signature”. In this section, select the signature you just created under the options “Replies/forwards” and select save.

Step 10: Test your new signature

Send a test email to yourself or a friend and see if your new signature works.

Congratulations! You’ve now set up your special signature in Outlook for email replies and forwards.

In conclusion, using a special signature for email replies and forwards is a professional way to make your correspondence stand out. By following these simple steps, you can create a signature that is both personalized and polished. This can help to enhance your professional image and leave a lasting impression on the recipients.
