How to Send a Fax: 7 Steps

In the age of smartphones and instant messaging, it may seem like faxing is a thing of the past. However, fax machines are still used by businesses and individuals worldwide for sending critical documents. If you find yourself needing to send a fax, follow these seven simple steps:

1. Gather your materials: Before sending a fax, ensure you have all the necessary materials: the document(s) you want to send, the recipient’s fax number, and access to a working fax machine or online fax service.

2. Prepare your documents: Review your documents for accuracy and make any necessary changes. Make sure all pages are in the correct order and keep multi-page documents together with a paperclip or staple.

3. Use a cover letter: Writing a cover letter is optional but recommended, as it provides additional information about the sender, recipient, and content of the documents being transmitted. Include your name and contact information, the recipient’s name and fax number, date, subject line, and a brief message detailing any important aspects of the fax.

4. Load your documents into the fax machine: Open the document feeder or input tray on the fax machine and place your pages face-down (so that they will be transmitted in the correct order), aligning them with any provided guides. If using an online service, follow their instructions for attaching or uploading files.

5. Dial the recipient’s fax number: Using either the keypad on the fax machine or interface on an online service, enter the recipient’s full international dialing code (if applicable) followed by their fax number. Remember to add any necessary prefixes or suffixes for external calls.

6. Wait for confirmation: Press “Send” or “Start” on your chosen device or service platform. The device should dial the number and transmit your documents page by page until complete. Most machines will provide some form of confirmation (a printed report or an on-screen message) when the transmission is successful.

7. Keep a record: It’s good practice to keep a record of your sent faxes. Write down the date, time, recipient’s name, and fax number, as well as the number of pages sent and confirmation code (if provided). This information can help resolve any disputes or issues that may arise.

By following these simple steps, you can send a fax with ease—even if it’s your first time. Happy faxing!
