How to calculate holiday pay for salaried employees

Calculating holiday pay for salaried employees can be a complex process, involving various factors such as employment status, working hours, and company policies. However, with an understanding of the key components and a standardized method, employers can accurately determine the appropriate holiday pay for their salaried workforce. This article aims to provide a comprehensive guide on how to calculate holiday pay for salaried employees.

Step 1: Determine the employee’s weekly salary

To begin calculating holiday pay, first determine the employee’s salary on a weekly basis. This can be achieved by dividing their annual salary by the number of weeks in a year (52).

Example: If an employee earns $52,000 annually,

Weekly Salary = $52,000 / 52 = $1,000

Step 2: Identify the relevant period for holiday pay calculation

The relevant period refers to the length of time used as the basis for calculating an employee’s average weekly earnings. This period typically spans over 12 weeks or any other predetermined timeframe set by your company’s policies.

Step 3: Calculate average weekly earnings

Using the relevant period, calculate the employee’s average weekly earnings. To do this, sum their salaries over the designated timeframe (e.g., 12 weeks) and then divide that total by the number of weeks in your relevant period.
Example: If an employee earned $12,000 during a 12-week period,

Average Weekly Earnings = $12,000 / 12= $1,000

Step 4: Determine the employee’s working days per week

You must also figure out how many days a week your employee works. For instance, if they work Monday through Friday, they work five days per week.

Step 5: Calculate daily rate

Next, calculate the average daily rate by dividing the average weekly earnings by their working days per week.
Example: With an average weekly earning of $1,000 and five working days a week,

Daily Rate = $1,000 / 5 = $200

Step 6: Apply your company’s holiday policy

Lastly, check your company’s internal policies concerning the calculation of holiday pay. Some firms may choose to pay additional amounts (such as time-and-a-half) during public holidays or special events. Incorporate these considerations into each employee’s daily rate as necessary.

Step 7: Calculate the total holiday pay

Now that you’ve determined and adjusted the daily rate, multiply it by the number of paid holidays allotted to find each employee’s total holiday pay.

Example: If an employee gets 10 paid holidays annually and their daily rate is $200,

Total Holiday Pay = $200 x 10 = $2,000
