How to calculate fte hours

In today’s business world, effective management of human resources is critical for a company’s success. One key aspect of this is understanding how to calculate Full-Time Equivalent (FTE) hours. This measurement allows managers to better allocate and monitor workloads, as well as assess the efficiency of their workforce. In this article, we will break down the steps you need to take to accurately calculate FTE hours.

1. Understanding FTE

Full-Time Equivalent (FTE) is a unit that represents the workload of an employee in a way that makes it comparable across various employment scenarios. Essentially, an FTE of 1.0 represents a full-time employee working 40 hours per week, while an FTE of 0.5 represents a part-time employee working 20 hours per week.

2. Determine the standard workweek hours

Before calculating FTE, you should determine the standard workweek hours for your company or organization. Most commonly, this would be 40 hours per week. However, it may vary depending on your industry and company policies.

3. Calculate the total weekly hours for each employee

To start calculating FTEs, you will need to know the total weekly hours worked by each employee. This can include regular hours as well as overtime if applicable. For example, if an employee works 30 hours per week regularly and has 5 hours of overtime, their total weekly hours would be 35.

4. Divide each employee’s total weekly hours by the standard workweek hours

Now that you have the total weekly hours for each employee, divide these values by the standard workweek hours determined in step 2. Continuing with our previous example, we would divide the employee’s total weekly hours (35) by the standard workweek (40):

35 / 40 = 0.875

5. Round the result to two decimal places

For easier comparison and analysis, it’s a good practice to round the FTE result to two decimal places. In our example, this would yield an FTE of 0.88.

6. Repeat the process for all employees and sum their FTEs

Calculate FTE for each employee using the steps above, then sum up all FTE results. This will give you the total FTE count for your organization, which can be used in workforce planning, budgeting, and other managerial decisions.
In conclusion, calculating FTE hours is an essential skill for managers to understand the capacity and efficiency of their workforce better. By following these simple steps, you can easily determine the FTE for each of your employees and gain valuable insights into your human resource management processes.
