3 Ways to Request a Duplicate W-2

As tax season approaches, it’s crucial to have the necessary documents to file your income taxes accurately. One of the essential forms is the W-2, which reports wage earnings and tax withholdings for employees. Sometimes, life can be chaotic, and your W-2 could be misplaced or not delivered to you for various reasons. Don’t fret; this article will cover three ways to request a duplicate W-2 quickly.

1. Contact your employer

The first and most straightforward step to obtain a duplicate W-2 is to contact your employer or former employer directly. The Human Resources (HR) department or payroll team should be able to provide you with a digital or physical copy of the document. Be prepared to verify your identity, and provide necessary details such as your social security number, address, and employment period.

Tip: Make an effort to contact your employer as early as possible in the tax season—not only does this allow ample time for processing, but employers can be overwhelmed with requests as the filing deadline nears.

2. Use the Internal Revenue Service (IRS)

If you cannot reach your employer or haven’t received a duplicate W-2 after requesting one from them, it’s time to get in touch with the IRS. You may call the IRS at 800-829-1040 or visit their website (www.irs.gov), where you need to fill out Form 4506-T called “Request for Transcript of Tax Return”. This form allows you to request a transcript of your W-2 information directly from the IRS.

Remember that contacting the IRS should generally be a second option after attempting communication with your employer.

3. File Form 4852

In case neither contacting your employer nor the IRS produces results, you should complete Form 4852 titled “Substitute for Form W-2.” This document serves as an alternative for missing or incorrect W-2 forms. To fill out Form 4852, you will need your latest pay stub or other documentation to provide accurate income and withholding information. The form can be submitted alongside your tax return.

Keep in mind that this should only be used as a last resort, as filing with Form 4852 can delay the processing of your tax return.

Conclusion

Losing a W-2 can be stressful, but requesting a duplicate is manageable with these three approaches. Reach out to your employer first, followed by contacting the IRS if necessary, and use Form 4852 only as a last resort. Don’t forget to act sooner rather than later; processing times for duplicate forms and tax returns can take longer than expected, especially as the filing deadline approaches.
