3 Ways to Start a Meeting

Every meeting should have a clear purpose, and the attendees should leave the room with a sense of accomplishment. Starting a meeting effectively is crucial to achieving these goals. In this article, we explore three different ways to initiate your meetings, ensuring engagement and productivity from all participants.

1. Icebreakers or Team-building Activities

An icebreaker or team-building activity is an excellent way to help attendees feel at ease and get comfortable with each other. For new groups, this approach is particularly beneficial, as it creates a relaxed environment that encourages open communication and collaboration. Some popular icebreaker examples include “Two Truths and a Lie,” “The Human Knot,” and “Penny for Your Thoughts.” Make sure to keep the activities simple, short, and relevant to the meeting objectives.

2. Share Meeting Objectives and Agenda

To ensure smooth functioning and avoid wandering off-topic, sharing the meeting objectives and agenda at the very beginning is essential. This action allows participants to understand the purpose of the meeting clearly, set expectations about its outcome, and mentally prepare themselves for meaningful contributions. A great approach can be to seek everybody’s input on the agenda items before commencing the discussion or asking if they’d like to add something missing from it.

3. Celebrate Successes or Share Relevant News

Incorporating positivity into meetings can inspire motivation among team members while building their confidence in your organization’s progress. To start your meeting on high energy levels, consider sharing recent accomplishments, milestones attained by team members, or any positive feedback received from clients. Alternatively, share any important company news that has direct implications on the participants present in the room. This practice not only demonstrates transparency and inclusion but also makes every attendee feel appreciated.

In conclusion, starting a meeting effectively is crucial for attaining successful outcomes. By using any of these three methods – icebreakers or team-building activities, sharing meeting objectives and agenda, or celebrating successes and sharing relevant news – you can set a positive tone for the gathering, promote engagement, and maximize productivity among participants. The next time you prepare for a meeting, consider incorporating these approaches to witness a marked improvement in its efficiency and effectiveness.
