6 Time-Saving Shortcuts Every PowerPoint User Should Know

In today’s fast-paced work environment, efficiency is crucial. Whether you’re an entrepreneur, a project manager, or a student, mastering Microsoft PowerPoint can go a long way in streamlining your presentations and communicating your ideas effectively. To help you save time and enhance your productivity, here are six essential shortcuts that every PowerPoint user should know:

1. Duplicate Slides or Objects: CTRL + D

Instead of copying and pasting slides or objects repeatedly, use the “CTRL + D” keyboard shortcut to duplicate them quickly. Select the slide or object you want to duplicate and press “CTRL + D” to make an identical copy appear.

2. Insert New Slide: CTRL + M

Adding new slides to your presentation shouldn’t take much effort or time. Just press “CTRL + M” to insert a new slide immediately after the current one. This shortcut will speed up the process of building your presentation and ensure its continuity.

3. Align Objects: ALT + Arrow keys

Alignment and spacing of objects are important for maintaining a professional presentation. To align objects quickly, select the item(s) you want to move and hold down the “ALT” key while pressing arrow keys left, right, up, or down. This shortcut makes it easy to arrange any object on your slides with precision.

4. Switch Between Open Presentations: CTRL + F6

For those working with multiple presentations simultaneously, switching between them can cause some frustration when using the mouse cursor alone. Use “CTRL + F6” to toggle between open presentations within PowerPoint without interrupting your workflow.

5. Start Slide Show from Current Slide: SHIFT + F5

Do you frequently need to review your presentation as you create it? Press “SHIFT + F5” together to start a slide show from the current slide instead of starting from the beginning. This lets you preview your work without wasting time navigating through all the slides.

6. Group and Ungroup Objects: CTRL + G / CTRL + SHIFT + G

Grouping related objects together, such as multiple shapes or text boxes, can help you manage them more effectively. To group objects, select them and press “CTRL + G.” To ungroup them, select the group and press “CTRL + SHIFT + G.” This makes organizing your slides straightforward and clutter-free.

In conclusion, mastering these time-saving shortcuts can dramatically improve your efficiency when working with PowerPoint.
